Front Desk Receptionist

Job Summary: We are seeking a friendly and organized Front Desk Receptionist to be the first point of contact for our clients. The ideal candidate will have excellent customer service skills, attention to detail, and a warm and welcoming demeanor. As a Front Desk Receptionist, you will play a crucial role in creating a positive and seamless experience for our clients, ensuring they feel valued and cared for from the moment they walk in. Key Responsibilities: Client Reception: Greet clients warmly and provide a professional and inviting first impression. Check-in clients for appointments and verify personal information. Ensure a comfortable and pleasant waiting area experience. Appointment Scheduling: Manage appointment bookings, cancellations, and rescheduling. Coordinate with the medical aesthetician team to optimize the appointment schedule. Phone and Email Communication: Answer phone calls promptly and professionally, providing information and addressing inquiries. Respond to email inquiries and appointment requests in a timely manner. Administrative Support: Assist with administrative tasks, including filing, data entry, and maintaining client records. Collaborate with the spa manager on various administrative duties. Payment Processing: Process client payments, issue receipts, and manage billing inquiries. Coordinate with the finance team to ensure accurate and timely payment processing. Client Communication: Communicate effectively with clients about appointment reminders, special promotions, and spa policies. Ensure clients are informed about pre-appointment instructions and post-treatment care. Maintaining Cleanliness and Order: Keep the reception area clean, organized, and well-stocked with informational materials. Ensure the overall tidiness of the front desk area. Qualifications:
  • High school diploma required Bachelors or Associates degree preferred
  • Proven experience as a receptionist or in a customer service role.
  • Excellent interpersonal and communication skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in using scheduling software and basic office applications.
  • Previous experience in a medical spa or healthcare setting is a plus.
